Grout Geek Business OS Privacy Notice
Effective date: August 14, 2026
This notice explains how Grout Geek handles information in Grout Geek Business OS and its QuickBooks Online connection. The application is an internal business tool operated for Grout Geek. It is not offered as a public consumer account service.
Information handled by the application
Depending on the features the owner uses, Grout Geek Business OS may handle:
Grout Geek customer, property, estimate, appointment, job, inventory, invoice, payment, expense, quality, and follow-up records entered or imported by the owner;
locally recorded communications and customer-service drafts;
photographs the owner intentionally uploads with the required local consent confirmation;
Intuit OAuth configuration and access tokens needed to connect the owner's QuickBooks Online company;
the QuickBooks company identifier, company name, authorization timestamps, and connection status used to verify the authorized company; and
accounting records that may be imported in a future separately qualified read-only synchronization release.
Grout Geek Business OS does not ask for or store the owner's QuickBooks password.
How information is used
Information is used to operate Grout Geek, prepare and deliver services, maintain local business records, verify the authorized QuickBooks company, reconcile business evidence, produce owner-reviewed recommendations, protect the application, and satisfy legal or accounting obligations.
The application's AI and deterministic recommendation features may summarize or rank locally stored business evidence. They do not independently send messages, schedule jobs, charge customers, purchase items, post accounting entries, or change a provider connection. Those actions require owner review through a separately enabled workflow.
QuickBooks Online authorization
QuickBooks Online is connected through Intuit OAuth. The public callback service is designed to forward the one-use authorization result to the locally running Grout Geek application without retaining OAuth codes, OAuth tokens, or QuickBooks accounting records. The local application exchanges the authorization code, verifies the exact QuickBooks company, and protects resulting tokens using Windows current-user data protection outside the source repository.
Sharing and sale of information
Grout Geek does not sell identifiable customer or QuickBooks data. Information may be shared only when needed to provide an owner-requested service, operate an authorized service provider, comply with law, protect rights or security, or complete an owner-authorized connection such as Intuit QuickBooks Online. A provider's own privacy terms apply to information processed by that provider.
Storage, retention, and deletion
The primary Grout Geek Business OS database and protected Intuit tokens are stored locally on the owner's computer. Local records remain until the owner deletes them or removes the applicable application data. Local backups may retain copies until the owner rotates or deletes those backups.
QuickBooks OAuth tokens remain until they expire, are replaced during a future qualified token-rotation workflow, or the owner disconnects the integration. Disconnecting calls Intuit's revocation service and, after successful revocation, removes the locally protected tokens. Disconnecting does not delete records stored inside QuickBooks Online.
The owner can request review or deletion of applicable Grout Geek records through the Grout Geek contact form: https://www.groutgeek805.com/contact. Some records may be retained when needed for accounting, tax, fraud prevention, dispute resolution, security, backup integrity, or another legal obligation.
Security
Grout Geek uses local owner authentication, request protections, encrypted current-user credential storage, exact-record validation, local receipts, backups, and restricted provider boundaries. No security system can guarantee absolute protection. Suspected unauthorized access should be reported promptly through the Grout Geek contact form.
Changes to this notice
This notice may be updated when the application or its provider connections materially change. The effective date above will be updated when a revised notice is published.
